Job Summary: This position provides administrative support for Financial Advisors as well as communication with clients, visitors, internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize workload.

Summary of essential job functions:
• Answer general phone inquiries using a professional and courteous manner. Direct phone inquiries to the appropriate staff members. Forward voice mail from the general mailbox to the appropriate staff member.
• Reply to general information requests with the accurate information.
• Greet clients/suppliers/visitors to the organization in a professional and friendly manner.
• Proficient in the use computer: internet, emails, word processing, spreadsheets, and database software to prepare reports, memos, and documents.
• Sort incoming mail, faxes and courier deliveries for distribution
• Prepare and send outgoing faxes, mail, and courier parcels.
• Purchase, receive and store the office supplies ensuring that basic supplies are always available.
• Maintain hard copy filing system.
• Provide support to Financial Advisors
• Coordinate the maintenance of office equipment
• Other job duties as assigned or requested by Management.

Employee will perform all job duties in accordance with prescribed policies, procedures and regulatory requirements, including, but not limited to, the Bank Secrecy Act and Anti-Money Laundering.

Supervisory Requirements: Reports to the Director of Investment Services

Requirements: BS Degree preferred Series 7 and 63 License preferred. If not, the Series 7 and 63 licenses must be obtained within the first 90 days of employment.
