Description
This position is responsible for providing routine assistance and administrative support to the University Success Center administrators and staff. Additional responsibilities include acting as the first point-of-contact for the department, acting as the departmental administrative contact, answering phones, performing customer service duties, assisting callers and drop-ins, answering departmental emails, maintaining calendars, and assisting the director.
Essential Job Duties
- Serve as the point-of-contact for general office communications including answering/responding to incoming calls and providing support to the office;
- Provide faculty, staff, students, and the general public with courteous, engaging, attentive, and efficient responses to requests for information and/or in answering questions;
- Monitor finances for the office, including all office budgets, university work study, and foundation budgets;
- Keep accurate and accessible files and records of budget procurement, disbursements, requisitions;
- Create and maintain financial forms and spreadsheets related to daily operations including purchase orders, payment requisitions, and Pcard reconciliation;
- Assist with hiring, training, and supervision of student workers, to include completion of student hire paperwork;
- Assist the director in daily duties;
- Responsible for entry of unit academic advisor and student assignment in Banner;
- Maintain appointment calendars for staff;
- Perform inventory control;
- Oversee event scheduling, preparation, and set-up for office events;
- Make deposits, manage payments, and invoice vendors when necessary;
- Performs all other duties as assigned.
- Assist new staff with office setup – coordinate with ITS, order supplies, etc.;
- Provide administrative support for orientation sessions.
Minimum Qualifications
- High school diploma/equivalent is required;
- Some college education is preferred;
- One to two years of related experience is required.
- Excellent written and verbal communication skills;
- Ability to provide positive customer service;
- Ability to take initiative to solve problems and to perform multiple tasks simultaneously;
- Ability to work independently with minimal direction and to be an effective team contributor;
- Proven organizational skills;
- Ability to be accurate and efficient;
- Word processing, desktop publishing and internet experience using modern technology;
- Ability to supervise office workers;
- Ability to work with culturally diverse populations including students, alumni, faculty members, and employers;
- Ability to handle cash, write receipts, and balance daily cash log.
