Overview

The Executive Secretary provides high-level administrative, clerical, and organizational support to a senior executive. This role requires a high degree of confidentiality, discretion, and the ability to handle complex tasks efficiently. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills.

Responsibilities:

  • Calendar Management:
    • Manage and maintain a complex calendar, scheduling meetings, appointments, and travel arrangements.
    • Prioritize and coordinate meetings, ensuring timely and efficient scheduling.
  • Correspondence:
    • Draft, edit, and proofread a variety of documents, including correspondence, reports, and presentations.
    • Handle confidential information with the utmost discretion.
  • Administrative Tasks:
    • Manage incoming and outgoing mail and correspondence.
    • Handle expense reports, reimbursements, and other financial tasks.
    • Coordinate travel arrangements, including booking flights, accommodations, and ground transportation.
    • Maintain accurate and up-to-date records and files.
  • Project Management:
    • Assist in project planning, tracking, and completion.
    • Coordinate with various departments and external stakeholders as needed.
  • Event Planning:
    • Organize and coordinate meetings, conferences, and other events.
    • Handle event logistics, including venue selection, catering, and guest invitations.

Qualifications:

  • Education: Bachelor''s degree or equivalent experience.
  • Experience: Minimum of 5 years of experience as an executive secretary or similar role.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other relevant software.
  • Communication Skills: Excellent verbal and written communication skills.
  • Organizational Skills: Strong organizational and time management skills.
  • Problem-Solving Skills: Ability to think critically and solve problems effectively.
  • Confidentiality: Proven ability to handle sensitive information with discretion.
  • Attention to Detail: Meticulous attention to detail and accuracy.
  • Flexibility: Ability to adapt to changing priorities and deadlines.

Additional Preferred Qualifications:

  • Experience with executive scheduling tools and software.
  • Knowledge of office management procedures.
  • Ability to anticipate needs and proactively address issues.
