Overview
The Executive Secretary provides high-level administrative, clerical, and organizational support to a senior executive. This role requires a high degree of confidentiality, discretion, and the ability to handle complex tasks efficiently. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills.
Responsibilities:
- Calendar Management:
- Manage and maintain a complex calendar, scheduling meetings, appointments, and travel arrangements.
- Prioritize and coordinate meetings, ensuring timely and efficient scheduling.
- Correspondence:
- Draft, edit, and proofread a variety of documents, including correspondence, reports, and presentations.
- Handle confidential information with the utmost discretion.
- Administrative Tasks:
- Manage incoming and outgoing mail and correspondence.
- Handle expense reports, reimbursements, and other financial tasks.
- Coordinate travel arrangements, including booking flights, accommodations, and ground transportation.
- Maintain accurate and up-to-date records and files.
- Project Management:
- Assist in project planning, tracking, and completion.
- Coordinate with various departments and external stakeholders as needed.
- Event Planning:
- Organize and coordinate meetings, conferences, and other events.
- Handle event logistics, including venue selection, catering, and guest invitations.
Qualifications:
- Education: Bachelor''s degree or equivalent experience.
- Experience: Minimum of 5 years of experience as an executive secretary or similar role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other relevant software.
- Communication Skills: Excellent verbal and written communication skills.
- Organizational Skills: Strong organizational and time management skills.
- Problem-Solving Skills: Ability to think critically and solve problems effectively.
- Confidentiality: Proven ability to handle sensitive information with discretion.
- Attention to Detail: Meticulous attention to detail and accuracy.
- Flexibility: Ability to adapt to changing priorities and deadlines.
Additional Preferred Qualifications:
- Experience with executive scheduling tools and software.
- Knowledge of office management procedures.
- Ability to anticipate needs and proactively address issues.
